Engility is seeking an Administrative Support Specialist to join our Team in Washington. You must be a self-starter who takes initiative and works through completion of activities.  You must exercise discretion when discussing matters of the SES office, and maintain confidentiality at all times.  You will provide administrative support services to enable the International Criminal Investigative Training Assistance (ICITAP) programs to deliver high-quality, effective training programs to law enforcement personnel in overseas missions.

 

In this role you will provide support to their assigned ICITAP regional staff by performing the tasks outlined below. You will be located in ICITAP’s HQ office for optimal integrated support of regional programs.  A moderate risk Public Trust clearance is required for this position.  In this role you will have access to the JCON network and must be a U.S. Citizen. The core hours for this position are from 8:30 am – 5:30 pm.

 

Handle Fund Cite Obligation and De-Obligation Cables:

  • The Support Specialist shall work with ICITAP’s HQ regional to gather necessary information to properly draft an obligation cable.
  • The Support Specialists shall draft and route the cable through ICITAP, and through the International Training Financial Management (ITFM) Office, per established procedures, and upon final approval transmit this request to the appropriate “embassy/post.”
  • The Support Specialist shall work with ICITAP’s HQ regional to gather necessary information in order to properly draft de-obligation cables.

 

Handle Travel Authorizations, Modifications and Vouchers:

  • The Support Specialist shall work with ICITAP’s HQ regional staff and ICITAP’s-funded travelers to gather necessary information (including financial data) and documents to properly draft a travel authorization request.
  • The Support Specialist shall draft, route, and tract the travel authorization through CTAS.
  • The Support Specialist shall work with ICITAP’s HQ regional staff and ITFM to gather necessary information (including financial data) and documents in order to properly draft travel authorizations requiring de-obligation or modifications
  • The support Specialist shall draft, route, and track the travel authorization through ICITAP’s and ITFM utilizing CTAS, per established procedures.
  • The Support Specialists shall work with ICITAP’s HQ regional and/or field staff and ICITAP’s –funded travelers to ITFM and ensure that vouchers are submitted accurately and in a timely fashion at the completion of travel.
  • The Support Specialist shall send voucher templates and other required documents to travelers detailing instructions for completing the voucher to be reimbursed for expenses incurred while on official travel.
  • The Support Specialist shall review vouchers for accuracy, make corrections with consent from travelers, request additional or missing documentation, and submit vouchers to the reimbursement specialist in a timely fashion

 

Other Duties Assigned:

  • Manage calendar for the SES, and designees
  • Complete and submit travel authorizations
  • Complete expense report filing
  • Work on statement of work for programs, as needed
  • Work on specially assigned projects as they become available
  • Distribute mail and incoming documents
  • Send out interdepartmental documents
  • Upkeep of internal tracking systems (Excel/Word)

 

You will assist with other support related to the above tasks, including but not limited to: drafting documents, tracking actions, gathering and providing data, performing research for data calls, filing physical and electronic documents, making copies, creating binders and organizing documentation as needed.

Required Qualifications

  • U.S. citizens only due to government or federal requirement.
  • Must be able to obtain a Public Trust Waiver at moderate level.
  • Bachelor’s degree (combination of experience and education will be considered)
  • 2 years of related work experience
  • Must be familiar with Federal Travel Regulation
  • Proficiency with MS Office products (specifically Excel and Word)
  • Demonstrated experience in performing quantitative analysis (preferably dealing with U.S. government finance/accounting
  • Demonstrated experience working in a fast pace environment
  • Applicants selected for this position will not be able to start until the Public Trust Waiver is issued by the Department of Justice’s Criminal Division
  • Ability to communicate effectively, both verbally and in writing (both routine email correspondence and formal documents, e.g. memoranda)
  • Strong project/task/time management skills

Desired Qualifications

  • Prior experience working in the federal government is a plus
